1. Information We Collect

When you register for Employee of the Month, we collect basic account details (name, store name, email address, and password, which is securely hashed by our authentication provider). When you connect a marketplace (Shopify, Etsy, Amazon, eBay), a print-on-demand provider (Printify, Printful), or an email inbox (Gmail, Microsoft/Outlook, or another provider via IMAP), we collect and store encrypted OAuth access tokens and use them to retrieve store operational data such as order numbers, sales totals, inventory levels, marketplace fees, and shipment tracking information.

2. Email & Inbox Access

If you connect an email inbox, Employee of the Month scans incoming messages to identify customer service inquiries (such as order status, shipping delays, and tracking questions) so it can surface them as attention items in your dashboard, draft suggested replies, and, where you have enabled it, automatically reply to tracking/shipping questions. Email credentials and access tokens are encrypted at rest. We only read messages relevant to customer service detection and do not use inbox content for advertising or sell it to third parties.

3. Social Media Connections (Pro Plan)

Pro plan accounts may connect social media accounts (such as Facebook and Instagram) to allow Employee of the Month to draft posts on your behalf. No post is published without your explicit review and approval through the "Approve & Post" action in your dashboard.

4. How We Use Your Information

We use collected data strictly to provide automated operations reporting, calculate profit and cost summaries, detect and help resolve customer service issues, draft social media content you approve, and execute store management tasks you authorize. We do not sell or monetize your personal or store data.

5. Payment Processing & Subscription Billing

Paid subscriptions (Basic, Premium, and Pro plans) are billed through Stripe, our third-party payment processor. We do not store your full credit card number on our servers. New accounts may receive a 10-day free trial of Premium features with no card required. If a paid plan is not selected before the trial ends, access to your account will be paused until you choose a plan. You can view, upgrade, downgrade, or cancel your subscription at any time from the Billing page in your account.

6. Affiliate Links & Outbound Services

Our service may contain outbound links to third-party fulfillment providers and services (such as Printify or Printful). If you click on a third-party link and sign up or make a purchase, we may receive an affiliate referral commission.

Please note that clicking these links may share basic referral routing parameters with the destination platform. We do not sell your personal data or transmit sensitive store financial records to third-party affiliates.

7. Cookies & Security

We use essential cookies to keep you signed in and to remember basic preferences. All connection credentials, OAuth tokens, and email account passwords are encrypted at rest, and traffic to our servers is encrypted in transit via HTTPS.

8. Data Retention & Deletion

You may disconnect platform integrations, change your password, or delete your account at any time from your Settings dashboard. Upon account deletion, all stored API access tokens, cached store records, order history, and account information are permanently purged from our servers, and any active subscription is canceled.

9. Children's Privacy

Employee of the Month is intended for business owners and is not directed at children. We do not knowingly collect information from anyone under the age of 18.

10. Changes to This Policy

We may update this Privacy Policy from time to time as our features evolve. Material changes will be reflected by an updated "Last Updated" date above.
